The stock ledger
Dataforce ASAP tracks stock as a ledger of movements. Every change to stock - a delivery from a supplier, an issue to a field worker, product installed at an appointment, a stocktake correction - is recorded as a movement from one location to another. Stock on hand for a warehouse or field worker is the live balance produced by those movements.
Posted movements are permanent. They cannot be edited or deleted afterwards; if a mistake is made, it is corrected by posting an opposite movement or by running a stocktake. This keeps a complete, trustworthy history of where every unit of stock came from and went. Refer to Correcting Stock Mistakes.

In addition, when an appointment is completed Dataforce ASAP automatically records consumption movements from the field worker’s stock to the appointment. If the appointment’s products change or the appointment is reset, the stock is automatically returned to the field worker who consumed it.
Stock items and SKUs
Stock is counted per SKU (stock keeping unit). Products that share a SKU are treated as the same physical item and share one stock position - for example, the same showerhead listed under two activities with different prices. Each product’s SKU is shown read-only on the product details screen; SKUs are assigned, renamed and merged from the Items & SKUs tab of the Stock Management screen.
Products that have never been given a SKU receive one automatically the first time their stock is tracked.
Stocktakes
A stocktake records a physical count for a warehouse or field worker. Dataforce ASAP snapshots the expected quantities, you enter what was actually counted, and posting the stocktake records the variances as correction movements so the system quantities finish exactly at the counted figures. Stocktakes are the standard way to fix stock levels when the system disagrees with the shelf.
